This Privacy Policy describes how Samiana LLC (“Company,” “we,” “us,” or “our”) collects, uses, and shares information in connection with our website(s) and services. We market the Services under the brand name “Samiana AI.”

    This Privacy Policy applies to:

    • Visitors to our website(s), including Samiana.ai (the “Site”).

    • Customers login to our user portal (the “Portal”)

    • Business customers and authorized users who use our software-as-a-service offerings (the “Services”).

    If you are an end user interacting with a business customer’s use of our Services (for example, a caller whose call may be recorded or transcribed at a customer’s direction), please note that we may process information on behalf of that customer. In those cases, the customer controls the data and their privacy practices may apply.

  2. INFORMATION WE COLLECT

    A. Information you provide

    Depending on how you interact with us, we may collect:

    • Contact information (e.g., name, email, phone number, company)

    • Account information (e.g., login credentials, admin/user roles, authentication details)

    • Support and communications (e.g., support tickets, emails, chat messages, meeting notes)

    • Information you submit through forms, configuration screens, or uploads in the Portal

    B. Information we collect automatically (Site/Portal)

    When you use the Site or Portal, we may automatically collect:

    • Device and browser information

    • IP address and approximate location (e.g., city/state)

    • Log data (timestamps, pages/screens viewed, feature usage, error logs)

    C. Information processed through the Services (“Customer Data”)

    Depending on configuration, the Services may process information submitted by or on behalf of customers, which can include:

    • Call audio recordings (if enabled by the customer)

    • Call transcripts (if enabled)

    • Call metadata (e.g., timestamps, duration, routing outcomes)

    • Scheduling or message content (depending on workflow configuration)

  3. HOW WE USE INFORMATION

    We use information to:

    • Provide, operate, and maintain the Site, Portal, and Services

    • Create and manage accounts and authenticate users

    • Provide customer support and respond to requests

    • Monitor, secure, and improve the Site/Portal/Services (including troubleshooting and performance)

    • Send administrative and service communications (e.g., updates, security notices, billing notices)

    • Comply with legal obligations and enforce agreements

    • Prevent fraud, abuse, and security incidents

    We may use analytics and similar tools to understand how the Site and Portal are used and to improve performance and user experience.

  4. PAYMENT PROCESSING

    Payments in the Portal are processed by a third-party payment processor (currently Stripe). When you enter payment information, it is collected and processed directly by the payment processor. We may receive limited information such as billing contact details, payment status, and partial payment method details (for example, the last four digits and expiration date of a payment method), but we do not store full card numbers.
    The payment processor’s handling of payment information is governed by its own privacy policy and terms.

    • With Customer-authorized users and administrators (for account and service operations).

    We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are defined under California law. If this changes, we will update this Privacy Policy and provide any required opt-out mechanisms.

    Customer Data retention (including call recordings/transcripts where enabled) is governed by customer configuration and applicable agreements (e.g., the MSA, Order Form, Product Schedule, and/or DPA).

    We maintain commercially reasonable administrative, technical, and physical safeguards designed to protect information. While we work to protect information, no security measures can guarantee absolute security.

  9. YOUR CHOICES

    • Marketing emails: You can opt out by using the “unsubscribe” link or contacting us at support@samiana.ai.

    • Account information: Authorized users can update certain details in the Portal (if available) or by contacting support.

    • Cookie controls: Use browser controls and any cookie tools we provide (if applicable).

  10. CALIFORNIA PRIVACY RIGHTS (CCPA/CPRA)

    If you are a California resident, you may have the right to:

    • Know/access the personal information we collect about you

    • Delete personal information (subject to exceptions)

  11. DO NOT TRACK

    Some browsers offer a “Do Not Track” (“DNT”) signal. Because there is no consistent industry standard for DNT, our Site may not respond to DNT signals. We may allow you to control certain tracking through cookie controls and browser settings.

  12. CHILDREN

    Our Site and Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

  13. HIPAA / PHI

    Our Services are not intended to process “protected health information” (“PHI”) unless we have executed a Business Associate Agreement (“BAA”) with the customer. Customers are responsible for configuring workflows and providing notices/obtaining consents as required by law.

    We may update this Privacy Policy from time to time. We will update the “Last Updated” date and may provide additional notice if changes are material.
